The moment your headcount crosses ten or twenty, two parallel social security clocks start ticking. EPFO wants a code number, monthly ECR uploads, and clean UAN-Aadhaar seeding for every employee. ESIC wants its own registration, monthly contributions on gross wages, and an IP number for each covered worker. Miss either, and Section 7Q interest plus Section 14B damages can quietly eat 5-25% of a single month's contribution.

From the day you cross the threshold to the day your first ECR is filed, here is the sequence we follow.
We start with a one-page applicability note: total headcount across the PAN, wage structure, contractor base, presence of international workers, and the state-specific ESIC trigger. The output is a written 'covered from date X' confirmation โ important if EPFO ever questions when coverage began.
Both EPF and ESIC registrations are filed on the Shram Suvidha Unified Portal in a single sitting. We attach the PAN, incorporation certificate or partnership deed, GST, bank statement, and proof of principal place of business. DSC of the authorised signatory is mapped at this stage so that ECR uploads work from month one.
EPFO allots a 7-digit establishment code and ESIC allots a 17-digit code, typically within 3-7 working days of submission. Once received, we register your authorised signatory on the EPFO Employer Portal and on the ESIC Employer Portal separately โ the two portals do not share login credentials.
Existing employees with a prior UAN are transferred in via Form 13. New employees get a fresh UAN through Aadhaar Face Authentication on UMANG. We then close out e-KYC: Aadhaar, PAN, bank IFSC, and nomination โ all four must be seeded and verified or future claims will be rejected. ESIC IP numbers and e-Pehchan cards are generated in parallel.
This is the step most providers skip. We rebuild the wage register so that PF wages, ESIC wages, and CTC reconcile cleanly. The 2019 Supreme Court ruling in Vivekananda Vidyamandir is applied โ allowances paid universally and ordinarily are treated as basic wages for PF, regardless of what the salary slip labels them.
From the next wage cycle, ECR is generated, validated against the wage register, and uploaded by the 10th of the following month. Challan is paid through net banking by the 15th. Pension contribution is apportioned, EDLI and admin charges are computed, and a sign-off PDF goes to your finance team.
Form 3A and Form 6A are filed annually for EPF; ESIC annual contribution return is filed half-yearly. We maintain a parallel inspection folder โ wage register, ECR copies, challans, attendance, leave, contractor records โ so that any EPFO or ESIC inspector walks out the same day they walked in.
