Professional Tax registration across PT-levying States — PTEC for the employer and PTRC for employee deduction, with payroll slabs and returns handled.
Professional Tax is one of those small line items on your salary slip that quietly trips up entire payroll systems when it is wrong. It is a State levy, not Central, which means your obligations shift the moment an employee moves from Bangalore to Hyderabad — the slab changes, the due date changes, the form number changes, and so does the penalty for missing any of them.
For a business operating in two or three States, getting PT right is less about the rupee value (the constitutional cap is ₹2,500 per person per year) and more about staying on the correct side of seventeen different State portals. Bank account KYC, tender bids, and payroll software onboarding all ask for a valid certificate.
PT itself sits in State law, but the surrounding ecosystem has shifted enough to matter for any new registration this year.
A surprising number of businesses register for just one of the two and assume they are covered. They are not.
Each State runs its own portal and its own form set, but the sequence stays consistent across them.
We list every State where you operate, including branch offices, warehouses and sales presences, and isolate the PT-levying ones. States like Delhi, Haryana, UP, Rajasthan, Punjab and most of Northern India do not levy PT, so no registration is needed there.
We then check whether your employee count and salary band cross the State exemption threshold — Karnataka exempts salaries up to ₹25,000 per month, Maharashtra exempts up to ₹10,000, and Telangana up to ₹15,000.
PAN of the entity, PAN and Aadhaar of every director or partner, address proof of the registered office and each branch, MOA and AOA (or partnership deed or LLP agreement), board resolution authorising the application, photographs, and the employee list with monthly gross salary and date of joining.
For PTRC, we also need the cancelled cheque of the salary disbursement account and the specimen signature of the authorised signatory.
Maharashtra uses Form I (PTRC) and Form II (PTEC) on the GRAS portal. Karnataka files Form 1 on the e-Prerana site. Tamil Nadu uses the Greater Chennai Corporation portal for its zone-wise filings. West Bengal files Form V on the Profession Tax Directorate site.
Each filing generates an acknowledgement number that we track until the certificate is issued, with the application reference logged into your compliance tracker.
The State PT department reviews the application within 5 to 10 working days. Most States now run desk-based verification, but Maharashtra and Karnataka occasionally request physical inspection of the business premises.
We respond to clarifications within 48 hours so the file does not get queued, and we share a real-time status against the application number.
The PTEC and PTRC are issued as PDFs from the portal — printable, with QR validation. Some States (Maharashtra, Karnataka) mandate that the certificate be displayed at the principal place of business.

The State slab is built into your payroll software — Zoho Payroll, Keka, GreytHR or RazorpayX. Maharashtra's February ₹300 deduction is configured at month-close. Karnataka's ₹200 flat above ₹25,000 is wired into the salary master.
Cross-State employees (someone hired in Bangalore but transferred to Pune mid-year) are flagged so the deduction switches with location and the Form 16 picks up the correct State remittance.
Maharashtra PTRC returns are monthly if PT liability exceeds ₹1 lakh per year, otherwise annual. Karnataka files monthly returns by the 20th. Tamil Nadu files half-yearly. West Bengal runs an annual cycle.
We calendar each State's due date, generate the challan, file the return, and confirm the bank debit so the first cycle closes cleanly before any default window opens.
Consider a Pune-based SaaS startup that incorporated in October 2025 with 18 employees, then opens a Bangalore sales office and a Chennai support team in March 2026.
Total annual PT footprint for the group: ₹7,500 in company PTEC across three States plus ₹7,500 in director PT plus around ₹40,000 in employee deductions. The administrative cost of getting it wrong — late fees plus a single tender disqualification — would easily cross ₹1.5 lakh in the same year.
