Here's the step-by-step process we follow to amend your GST registration with zero rejected filings.
We start by understanding every change you're making: principal place shift, APOB addition, signatory replacement, bank account update, legal name change, etc. Each change is classified as core or non-core. Core changes are routed for officer approval. Non-core changes are batched for auto-approval. This step prevents the most common rejection: stuffing a core change into a non-core field or submitting multiple unrelated changes in one REG-14 when they should be filed separately.
For each change, we gather the supporting documents per the proper officer's checklist: address proofs (rent agreement, electricity bill, municipality tax receipt, NOC from landlord), board resolutions for signatory changes, PAN and Aadhaar of new signatories, DSC credentials, bank documents (cancelled cheque, passbook, or statement first page). All documents are verified for format, currency, and authority before REG-14 submission. Expired or unsigned documents are fixed before filing.
We log into your GSTIN portal, fill in the amendment fields in the prescribed order (old data → new data), upload verified documents in the prescribed slots, and sign the form with your DSC (Digital Signature Certificate) or EVC (Electronic Verification Code, if DSC unavailable). The form is submitted, and we capture the portal acknowledgement (ARN) and timestamp.
If Aadhaar or biometric verification is triggered by the portal (typically for signatory or core changes), we do not wait for the officer to ask. We proactively authenticate the new signatory via Aadhaar on the GST portal (OTP-based) and, for states with mandatory biometric, book the appointment at the jurisdictional GSK or officer's office. Biometric is completed within 7 working days so the 15-day approval clock keeps ticking.
Within 7 working days, the portal may issue a REG-03 (officer query) requesting clarification or additional documents. We review the query, draft the REG-04 response with supporting evidence, and file it within the 7-day response window. Common queries: proof of address, board resolution authenticity, or justification for an APOB in a particular location. We pre-empt these with validation in Step 2.
REG-15 (approval certificate) is issued by the proper officer. We verify the amended GSTIN profile on the portal, then cascade the changes to downstream systems: e-way bill portal (place of business list), e-invoice portal (IRP, signatory validation), customer and vendor master (address, signatory), bank TDS/TCS portal (bank account confirmation), and ROC records (for company directors). A final archive ZIP containing all filed forms and approvals is shared with you.
